Terms & Conditions

These Terms & Conditions (“Terms”) apply to all services provided by Luxe Assist (“I”, “me”, “my”) to you (“the Client”). By working with me, you agree to these Terms.

1. About Luxe Assist

Luxe Assist provides freelance Executive Assistant, Project Management, Project Coordination and administrative support services.

2. Scope of Services

The specific services, deliverables and responsibilities will be outlined in writing (email, proposal or signed agreement) before work begins.

Services may include, but are not limited to:

Executive assistant support

Scheduling, inbox and administrative management

Project coordination and reporting

Governance and documentation support

Operations and workflow assistance


Any tasks outside the agreed scope may be added as additional services and charged accordingly.

3. Working Relationship

As a freelance consultant, I am not an employee.
I work independently and manage my own working methods, schedule and tools unless otherwise agreed.

Nothing in these Terms creates an employment, partnership or agency relationship.

4. Fees & Payment

Fees will be agreed in advance, either as hourly, project-based or retainer packages.

Invoices are issued monthly or upon completion of agreed work.

Payment terms are 7 days unless otherwise stated.

Late payments may incur an interest charge of 4% above the Bank of England base rate.

5. Cancellations & Rescheduling

Client cancellations

Cancellations of pre-booked sessions with less than 24 hours’ notice may be chargeable.

Retainer packages are non-refundable but can be carried forward for one month.


Luxe Assist cancellations

In the rare event I must cancel or reschedule, I will give as much notice as possible and arrange an alternative session at no additional cost.

6. Service Dissatisfaction

My aim is always to provide a high-quality, professional and supportive service.

If you are unhappy with any aspect of my work:

1. Please notify me in writing within 7 days of the issue arising.


2. I will review your concerns and work with you to resolve them promptly.


3. If an outcome cannot be agreed, I may offer:

a reasonable revision

a partial refund

or termination of the contract with no further charges

 


Refunds are assessed case-by-case and cannot be guaranteed for work already completed.

Your satisfaction matters, and I am committed to addressing concerns fairly and professionally.

7. Client Responsibilities

To deliver services effectively, the Client agrees to:

Provide clear instructions and timely information

Respond to communications within reasonable timeframes

Supply access to required systems, files or contacts

Ensure any shared data is lawful and accurate


Delays caused by a lack of information may affect timelines and fees.

8. Confidentiality

I take confidentiality extremely seriously.

All client information, documents, passwords and business details are kept strictly confidential and will not be shared with any third party unless:

required by law, or

explicitly authorised by you in writing.


Digital storage is managed securely via trusted providers (e.g., Microsoft, Google).

9. Data Protection

All data is processed in accordance with the UK GDPR and the Data Protection Act 2018.

10. Intellectual Property

Unless otherwise agreed, all materials created on your behalf become your intellectual property upon full payment of fees.

Templates, systems, processes and proprietary methods remain the property of Luxe Assist.

11. Liability

While I work to the highest standard, Luxe Assist is not liable for:

business losses, loss of profits or indirect damages

mistakes caused by unclear instructions or unavailable information

issues arising from third-party platforms


My total liability is limited to the value of the services fee paid.

12. Termination

Either party may terminate the agreement with 14 days’ notice in writing.

You will be charged for any completed or in-progress work up to the termination date.

Immediate termination may occur if:

invoices remain unpaid

there is a breach of confidentiality

behaviour becomes abusive or inappropriate

13. Changes to These Terms

These Terms may be updated periodically. The latest version will always be available on my website or provided upon request.
